Taiso AI ("we," "our," or "us") operates the SOP Engine platform at taiso.ai. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.

2. Information We Collect

2.1 Account Information

When you create an account, we collect:

  • Email address
  • Name
  • Company name (optional)
  • Authentication data (managed by Clerk)

Billing Information

If you buy a paid plan, our payment processor, Stripe, collects your payment details, billing name and address, and any tax ID you give. We use your billing address to work out the tax we must charge. We keep a reference to your Stripe customer record and your invoices; we do not store your card number.

2.2 Usage Data

We automatically collect:

  • API requests and responses
  • Usage statistics and metrics
  • IP addresses and access logs
  • Device and browser information

2.3 Content Data

When you use our service, we process:

  • Projects and files you upload
  • Standard Operating Procedures (SOPs) you create
  • Generated outputs and structured data
  • Chat conversations and interactions

3. How We Use Your Information

We use your information to:

  • Provide and maintain our service
  • Process your API requests and generate outputs
  • Improve our AI models and algorithms
  • Communicate with you about your account
  • Monitor usage and prevent abuse
  • Comply with legal obligations

4. Data Storage and Security

Your data is stored on secure servers in AWS infrastructure. We implement industry-standard security measures including:

  • Encryption in transit (TLS/HTTPS)
  • Hashed API keys (SHA-256)
  • Access controls and authentication
  • Regular security audits

5. Third-Party Services

We use the following third-party services:

  • Clerk - Authentication and user management
  • OpenAI/Anthropic - AI model providers for content generation
  • AWS - Cloud infrastructure and hosting
  • Stripe - Payment processing, invoicing and tax calculation

These services have their own privacy policies. We recommend reviewing their policies to understand how they handle your data.

6. Data Retention

We keep your data while your account is open and for as long as we need it to provide our services.

Closed accounts. When an account is closed, whether at your request or by us, it can no longer sign in or use our services, and nothing it created is shown to other users. We keep the account's records for security, audit, billing and legal purposes. That includes the content created with it and the logs of its activity and usage. We can reopen a closed account if you ask us.

Erasure. You can ask us to erase your personal information by emailing privacy@taiso.ai. We then:

  • remove the details that identify you from your account and its records: your name, email address, phone number, the sign-in accounts linked to it, and the network details (such as IP addresses) recorded with your activity;
  • delete your sign-in account with our authentication provider.

The content and usage records that remain are no longer linked to you. They may still contain personal information you put into them yourself, such as a name in an uploaded file. Tell us if you want specific content removed. An erased account cannot be reopened, but you are welcome to sign up again with the same email address.

Operational logs held by our infrastructure providers are deleted on their normal schedules. We may keep some information for longer where the law requires it.

7. Your Rights

You have the right to:

  • Access your personal data
  • Correct inaccurate data
  • Ask us to close your account, or to erase your personal information (see Data Retention)
  • Export your data
  • Opt-out of marketing communications

8. Cookies and Tracking

We use cookies and similar tracking technologies to maintain your session and improve user experience. You can control cookie preferences through your browser settings.

9. Children's Privacy

Our service is not intended for users under 18 years of age. We do not knowingly collect information from children.

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last Updated" date.
